Introduction to Student Organization Travel

The College of Engineering values student organizations and travel that contributes to the experiential component of those organizations’ purposes. The following process has been developed for the safety and welfare of students, faculty, and staff involved with student organization travel.

Numerous offices at Iowa State are involved in the review of student organization travel. Therefore, deadlines have been established within this approval process to ensure student organizations complete the application steps so review can take place. Ideally, student organizations will initiate the steps outlined in this process well before the corresponding deadlines.

Except in rare and unique circumstances, travel will not be approved unless all steps have been completed on time. Student Organization Student Travel Coordinators and the Student Organization Advisors for Recognized ISU Student Organizations must review and comply with the following Recognized ISU Student/Campus Organizations Use of University Vehicle Expectations found at:

Domestic Travel

Student Organizations also need to submit travel information online via the Student Organization Travel Authorization (SOTA) system. The College of Engineering requests that this information be submitted a minimum of four weeks prior to the trip departure date.

International Travel

Travel to an international destination for the purpose of a conference or competition. The College of Engineering requires that this information be submitted a minimum of 6 months prior to the trip departure date. The College of Engineering requires at least one faculty/staff member travels with the group, and have at least one identified backup.
